Privacy and Cookies

Grandstand Graphics LLC ("Grandstand," "we," "us") is a design and communications studio serving nonprofits and mission-driven organizations. This page explains what information we collect through grandstandgraphics.com and in the course of our work, what we do with it, who else touches it, and what you can ask of us. It also covers cookies. We have written it in plain English on purpose. If anything is unclear, email hello@grandstandgraphics.com.

What we collect

What you send us. When you use the contact form, book a call, sign up for a resource or our newsletter, or email us, we receive what you type: typically your name, email address, organization, job title, and whatever you tell us about your project. Our forms use Google reCAPTCHA to block spam, which means Google processes a small amount of technical data to decide whether you are a person.

What clients share with us. During an engagement, clients give us the material needed to do the work: donor and member lists, campaign content, photographs, brand files, analytics access, and similar. This information belongs to the client. We use it only to deliver the engagement and we do not use it for any other purpose.

What the site collects on its own. Our website runs on Squarespace, which collects standard technical information from every visitor: IP address, browser and device type, pages viewed, and referring site. Squarespace uses this for security and to give us built-in visitor analytics (how many people visited, which pages, roughly where from, based on IP address). We do not collect precise location, and we do not run Google Analytics or any advertising trackers.

What we use it for

We use your information to reply to you, schedule and hold calls, deliver the work you have hired us for, send invoices and contracts, send you the resources you asked for, keep the site working and secure, and understand how the site is used so we can improve it. If you have signed up for our newsletter, we will send it; you can unsubscribe from any email with one click.

We do not sell personal information. We do not share it with anyone for advertising. We do not build profiles of visitors.

Who else handles your information

We use a small number of services to run the studio. Each one processes information on our behalf under its own privacy terms:

  • Squarespace hosts the site, runs our forms and scheduling, sends our newsletter, and provides visitor analytics and client portal logins.

  • HoneyBook handles proposals, contracts, invoicing, and payments. If you pay an invoice, your payment details go to HoneyBook and its payment processor, not to us.

  • Notion hosts client working boards inside The Grandstand (see below).

  • Canva and Adobe are where we build and share design files, including client brand assets.

  • Google provides reCAPTCHA on our forms, and Google Workspace runs our email.

We will also disclose information if the law requires it, and if Grandstand were ever sold or merged, client and contact records would transfer with the business.

The Grandstand client portal

Clients under an active engagement get access to The Grandstand, a private portal on our site plus a working board in Notion. We create the login for you; there is no public signup. The portal holds your campaigns, templates, drafted content, and resources. It is visible only to you, your team members you ask us to add, and Grandstand. When an engagement ends, your access continues for the period stated in your agreement, after which we archive the board. You can ask us for an export of your board contents at any time, and we will delete it on request.

Cookies

Cookies are small files a site stores in your browser. Ours come from three sources:

  • Squarespace, required. A security cookie (crumb) that protects forms from tampering, and settings cookies that remember things like video player preferences. The site cannot run without these.

  • Squarespace, analytics. Two cookies (ss_cvr and ss_cvt) that tell Squarespace's built-in analytics whether a visit is new or returning. They identify a browser, not a person.

  • Adobe Fonts and Google reCAPTCHA. Loading our typefaces and protecting our forms each set a small technical cookie from those providers.

When you first visit, a banner lets you accept or decline the analytics cookies; Squarespace does not set them until you accept. You can also block or delete cookies in your browser settings, and the site will still work, though forms may not.

How long we keep things

  • Inquiries and newsletter signups: until you ask us to stop, or after two years of no contact.

  • Client engagement records (contracts, invoices, project files): for the length of the engagement plus seven years, as tax and accounting rules require.

  • The Grandstand portal contents: for the access period in your agreement, then archived for one year in case you return, then deleted.

Your rights

Depending on where you live, you may have the right to see the personal information we hold about you, correct it, get a copy, or have it deleted, and to object to how we use it. This includes rights under US state privacy laws, the EU and UK GDPR, and Canadian privacy law; we work with clients in all of these places. To exercise any of these rights, email hello@grandstandgraphics.com. 

We do not currently respond to browser Do-Not-Track or Global Privacy Control signals, because we do not do the tracking those signals are designed to stop.

Children

Our site and services are for organizations and the adults who run them. We do not knowingly collect information from anyone under 18. If you believe we have, email us and we will delete it.

Changes

When we change this page, we will update the date at the top. If a change is significant, we will say so on the site or by email.
